CodexFan is a reading and community platform: authors publish their books chapter by chapter, and readers read, follow the authors they love, talk about the books and meet them at events. This policy explains which personal data we process when you use the CodexFan website, web app and mobile apps, why we process it and what control you have over it. The data controller is EGEROBOT (see the Impressum).
1. Data we collect
- Account data: email address, display name or pen name, date of birth (to check the age limit), profile photo and bio, and your sign-in method (password or Sign in with Apple / Google).
- Reading data: your library, the chapters you open or unlock, your reading position on each device, offline downloads, follows, fan memberships and your coin balance.
- Community data: comments, comments on a paragraph, reviews, quotes, posts, messages in author rooms and book clubs, event registrations, challenge progress and points.
- Author and publisher data: the works, chapters, editions and posts you publish; for publisher accounts, company details and team members.
- Author identity vault: authors who receive earnings provide their legal full name, date of birth, address, national ID or tax number, tax country, payout details and an identity document. This data is sealed in a separate, encrypted vault, is used only for payments, tax and legal obligations, and is never shown to readers. Readers see only the pen name.
- Purchase data: in-app purchases are processed by Apple (App Store) or Google (Google Play). We receive the transaction reference and what you bought; we never see or store your card details.
- Copyright notices: the name, email address and details you give in a notice. Contact details are kept sealed and are not shared with the person you report.
- Device and usage data: a hashed device identifier, IP address, app version, push-notification token, crash reports and in-app activity events used to keep the service stable and to improve it.
2. Why we process it
- To run your account and deliver reading, publishing, fan memberships, events, rooms, clubs and challenges.
- To keep your reading position in sync and to unlock what you have bought or earned.
- To send new-chapter alerts, author notes and event reminders by notification or email — only for the authors and channels you said yes to.
- To keep the community safe: moderation, spam prevention, handling reports and copyright notices.
- To prepare author statements and meet tax, accounting and other legal obligations.
- To fix errors and improve the service using aggregated usage data.
3. What other people can see
Your display name or pen name, profile photo, bio and anything you post publicly (comments, reviews, quotes, posts) can be seen by other users. Messages in a room or club are visible to its members. An author's legal identity is never visible to anyone on the platform. We never sell your messages, comments or reading history.
4. Device permissions
The app asks for a permission only when you use the feature that needs it, and you can withdraw it at any time in your device settings:
- Camera and photos: to add a profile photo or a cover, and to save the quote cards you create.
- Microphone: to speak in live readings, Q&As and audio rooms, and to record voice notes.
- Notifications: for new chapters, author notes and event reminders you subscribed to.
- Location (optional): to show signing days, fairs and events near you. You can always search by city instead.
- Contacts (optional): to invite friends; nothing is uploaded until you confirm on the invite screen.
- Face ID / Touch ID: for quick sign-in. Biometric data stays in your device's secure hardware and never reaches us.
5. Who we share data with
We share personal data only as far as each service requires: our hosting and email-delivery providers, Apple and Google for purchases and push notifications, Firebase for crash reports, our real-time audio and video infrastructure for live events, and Google AdMob for ads in the free version. A publisher linked to an author sees only the scopes the author signed (for example catalogue or reports). We disclose data to authorities only when the law requires it.
6. Advertising and third-party vendors
We do not show ads on our website (codexfan.com). Ads may appear in the free version of the CodexFan app, served by Google AdMob; a Plus, Gold or Premium membership switches them off. The Google AdSense script does run on our web pages, so Google advertising cookies may be set there. Third-party vendors, including Google, use cookies and mobile advertising identifiers to serve and measure ads based on your prior visits to this and other websites or apps. Advertisers never receive your messages, comments, reading history or contact details. On the web, advertising cookies are set only after you accept the "Marketing" category in our cookie banner; on iOS you may additionally decline app tracking. You can opt out of personalised advertising at any time in Google Ads Settings. The full cookie list is in our Cookie and SDK Policy.
7. International transfers
Some of our service providers process data outside Türkiye or the European Economic Area. Such transfers are made in line with Law No. 6698 and the GDPR, on the basis of adequacy decisions, standard contractual clauses or your explicit consent where required.
8. Retention and deletion
We keep personal data only as long as the purposes above require. You can delete your account at any time in the app (see Account & Data Deletion). Records that tax and consumer law require us to keep, such as purchase records and author statements, are kept only for the statutory period.
9. Your rights
You can ask to access, correct, delete or export your data, object to processing and withdraw any consent you gave. You can download your data from the app's privacy settings. Details for Türkiye are in our KVKK notice and for the EU in our GDPR notice. Contact: [e-mail]
